Merchant Processing Fees Explained for Small Businesses

Payment processing costs may include interchange, network assessments, processor markup, equipment and add-on services. A single advertised percentage rarely explains the full statement.

What business owners should evaluate

Compare total fees with card sales over the same period to understand your effective rate. Ask about keyed transactions, chargebacks, PCI-related fees, funding times, equipment leases and cancellation conditions.

Requirements, fees and supported integrations depend on your business and provider agreement. EZ Payment can help you compare the options without relying on headline prices alone.

Practical guide: what to check before choosing

Understanding your full processing cost

A useful starting point is the effective rate: total processing-related charges divided by the total card sales for the same statement period. For example, $340 in qualifying processing charges on $10,000 in card sales is a 3.4% effective rate. This is a comparison tool, not a quoted rate, and statement categories may require adjustment to compare providers fairly.

Card-present, manually keyed and online transactions can carry different costs. Your business mix matters: ticket size, card types, refunds, disputed payments and whether customers are present all affect your actual cost.

Comparing pricing models

Interchange-plus pricing generally separates underlying card costs from a processor markup. Flat-rate pricing combines more of the cost into a simpler stated rate. Tiered pricing groups transactions into rate categories; merchants should ask exactly how those tiers are assigned. None is automatically cheapest for every business.

Request a sample statement using your real monthly sales, transaction count, card-present versus online split and average ticket. Compare monthly platform charges, gateway fees, per-transaction costs, PCI programs, chargeback fees, equipment terms and early termination provisions.

Questions to ask before signing

Ask whether the quote includes assessment fees, monthly minimums, annual fees, batch fees or separate gateway fees. Confirm deposit timing, settlement rules, refunds, support hours and how rate changes are communicated.

For equipment, clarify whether you own the device, rent it or enter a noncancelable lease. Ask for the complete agreement and a written schedule of fees, not only a verbal percentage.

How to evaluate an offer

Use two or three recent merchant statements with sensitive customer data removed. Identify total processed sales, transaction counts, total charges and any unusual one-off assessments. Compare like-for-like services and the full expected monthly cost.

A POS system and a merchant account are related but not interchangeable. If you need Clover, Shift4 Dine or Square, validate the proposed hardware and provider relationship independently of the processing quote.

Frequently asked questions

Is the lowest advertised rate always best?

No. Per-transaction charges, equipment, monthly platform costs and the mix of card types can change the total bill.

What is an effective rate?

A backward-looking estimate obtained by dividing relevant processing charges by processed card sales for the same period.

Can I switch processors and keep my POS?

Sometimes, but many POS ecosystems have restricted payment-provider options. Check the specific model and contract before deciding.
